Bill everyone in one go
Rent and utilities for the whole month, priced together. Check it first, then send.
Receipts that explain themselves
One payment, split across each charge it cleared. No more arguments.
Water and power, worked out
Readings in, charges out, with the sum shown. Tenants stop asking why.
Books that balance
Arrears, deposits and what you owe landlords, always current and never guessed.
Your team, your rules
Give each person exactly what they need. See who did what, whenever you want.
Repairs that don't get lost
Log it, assign it, and see what it cost against the unit.
Your month
What happens, in order
An agency's month has a shape. The software follows it rather than making you translate your work into somebody's idea of modules.
Read the meters, price the month
Readings in, rates applied, and the whole portfolio billed in one run. You preview it before anything is sent, sorted by biggest change against last month, which is where the errors always are.
Money arrives, and is applied to something
M-Pesa, bank, cash or paid direct to the landlord. Each payment is applied to specific charges in an order you set once, so a balance is reproducible rather than an opinion.
Arrears surface while they are small
A standing list of every tenant above zero, aged. A tenant one month behind usually pays; the same tenant five months behind usually leaves.
Landlords are paid and shown why
Collected, less expenses, less your commission, shown as a calculation. The statement is produced from the ledger rather than assembled at month end.
The awkward parts
Built for portfolios that aren't tidy
Every system demos well on clean data. These are the cases that decide whether one survives contact with a working book of business.
Portfolios that aren't tidy
Two tenants on one lease, a unit split mid-year, a landlord who takes his remittance in two parts, a shared water meter across four doors. These are the normal cases, not the edge ones.
Deposits held as what they are
A separate balance from the day it arrives. Never folded into collection, never quietly counted as income, and already a known figure when the tenancy ends.
A ledger that balances
Double-entry underneath everything: arrears, deposits, expenses and remittances reconcile, or the system tells you where they don't.
Roles that limit what people see
A caretaker logging a repair never sees the ledger. Access is by role, shared logins are unnecessary, and leavers are removed the day they leave.
Reports that export as shown
Occupancy, collection rate, arrears ageing, expenses by unit. What is on screen is what exports, so there is no reconciling the report to the export.
A trail nobody can tidy
Corrections are new entries that leave the original visible, with who and when. Not a compliance box: the reason a disputed charge takes one message to settle.
Moving over
Changing systems without losing a month
The reason most agencies stay on a spreadsheet they have outgrown is not the price of software. It is the fear of the switch, and specifically of starting the new system with the wrong arrears.
So you can open the account yourself and load it at your own pace, or have us do the switch with you. Either way, nothing is billed until the opening numbers are ones you recognise.
- 1
We take your spreadsheets as they are
Units, tenants, leases, opening balances and deposits. No reformatting first: messy is expected, and the mess is where the useful questions are.
- 2
Opening balances agreed before you go live
Nothing starts until what each tenant owes on day one is a figure you have checked and signed off. A migration that starts with wrong arrears never recovers.
- 3
First billing run checked side by side
We run the first month against however you were doing it before and compare, line by line. Disagreements get found now, not by a tenant in three months.
- 4
You keep working the whole time
No blackout period and no weekend cutover. Rent keeps being collected while the change happens underneath.
Two things you get free
Your subscription covers both. Nobody else pays a shilling.
An app for your tenants
They see their bills and what they've paid, so they stop calling you to ask.
See itListings included for your units
Your vacant units publish straight from the unit record at no extra cost. A listing plan is only something you buy if you are not already on this subscription. It closes itself when someone moves in.

Questions we get a lot
Do you hold our money?
Never. Payments go through a licensed aggregator straight to you. Domexa Technologies only records and reconciles them.
What if we miss a payment to you?
We call you. Nothing switches off automatically. Suspending an account is always a decision a person makes.
Does the tenant app cost extra?
No. It's in every plan, for every tenant you have, and tenants are never charged for it.
Can we list our vacant units?
Yes, free. Publish from the unit you already have on file, and because the tenancy lives here too, that listing closes itself when someone moves in. Listers who are not on this subscription close their own.
Do you support M-Pesa?
Yes, plus cash, bank transfer, EFT, RTGS, cheque, and money paid straight to the landlord. A payment recorded is a payment applied to specific charges, whichever way it arrived.
How long does moving over take?
Days rather than months for most agencies. The work is agreeing opening balances, not loading data, and you keep collecting rent throughout, with no cutover weekend.
What happens to our data if we leave?
You export all of it, in a format you can use elsewhere, on the day you ask. The records are yours; the software is the part you were paying for.
Can our accountant get what they need?
Yes. A double-entry ledger underneath, with exports of the ledger, arrears ageing, expenses and remittances. What is on screen is what exports.
Do our landlords get their own access?
They get a statement every month produced from the same ledger the receipts came from, so the summary and the detail cannot disagree. Ask us about landlord access; it depends on how your agency prefers to work.
Written for the people doing this job: running a billing run, catching arrears early and what belongs in a landlord statement.
